As demand for off site storage continues to grow, UK Document Management has extended their portfolio to provide archive & storage solutions for those clients who simply wish to store actual documents.
Our service known as (a4U) archives documents in a safe secure storage facility. We offer a cost effective professional secure off site storage service with a prompt and timely retrieval service, which will maintain your office space as a professional working environment and for people rather than as a storage facility.

Office space is an expensive overhead and littering your workspace with surplus documentations can create the wrong impression for both employees & visitors.

Records Management
Our a4U service does not just store boxes for you we also manage them for you.
If you require assistance we can box your files for you before we collect them for delivery to our store.
If you already have them boxed we will assist you and catalogue the contents of each box.
Using barcode technology we keep a computer record of each archive carton we store for you and can detail where it is in the store, when it was requested for retrieval, when it was delivered, collected and returned to the store.
At the end of the month the recorded information is processed to produce an accurate invoice showing all carton movements.

Scheduled Document Destruction (SDD)
UK Document Management will manage your (SDD) in strict adherence to your own guidelines for destruction dates the box will be destroyed and a certificate of destruction provided to you.

So we don't just store your files it really is like outsourcing your file room function so you save on storage costs and staff costs.
Frequently Asked Questions
Q: Can you collect my archive cartons?
A: We can arrange collection of your existing archive cartons either from your office or existing storage facility. For collections within 15 miles of our office there is no charge.

Q: Can you provide cartons for my files, pack the cartons for storage and provide a record before you take them away to store?
A: We can provide our own storage boxes the cost is based on quantity required. We can arrange our staff to attend your
office or facility to box files to cartons and catalogue them, the charge for this is based on the size of the job.

Q: Is it possible for us to collect archived documents or cartons from your facility?

A: In extreme circumstances we can make the Carton or File available at our reception area for collection. Prior notification and a letter of authority supported by identification would be required. For Health & Safety, as well as security considerations we can only allow our own records management staff access to the storage area. We do however we provide standard next day box retrieval & delivery services and same day courier service if.


Q: How do we arrange a carton / document retrieval?
A: The preferred method would be an email or fax to our office. We will confirm receipt of your request and confirm delivery time. For next day delivery you must advise us no later than 15.00 hours the day before you require delivery.

Q: Do I continue to pay the storage cost for archive cartons that have been retrieved?
A: Our bar coding service ensures that you are charged only for archive cartons that are in store. There is no storage charge for archive cartons in your office.

Q: How safe are my documents when stored with you?
A: UK Document Management take every care to provide safe secure facilities for the storage of your archive cartons & files. Our staff have undertaken CRB checks and have signed confidentiality agreements. Our facilities have CCTV, Fire detection and security alarm systems, there are Fire extinguishers throughout all zones & Direct signalling to fire Station. When transporting your archive cartons or documents we use our own transport staff or authorised and validated courier partners.

Q. Do you have a minimum time period for storing archive cartons?
A: No there are no limitations for the storage of archive cartons
